The Project Administrator provides administrative and operational support to Core Business Unit (CBU) leadership and project teams, ensuring projects are executed efficiently and within scope, schedule, and budget. This role coordinates documentation, reporting, and communication to keep stakeholders aligned and projects on track.
What you will be doing:
- Assist with business unit budgeting, expense tracking, and financial reporting
- Process invoices, purchase orders, and vendor documentation as required
- Process and coordinate travel and expense reports for leadership
- Support onboarding of new hires including creation of onboarding plan, meeting scheduling with relevant stakeholders and ensuring they have all items required to work
- Coordinate catering, conference room setup and other meeting logistics
- Other administrative tasks to support CBU leadership as requested
- Assist Project Managers in project planning, scheduling, and resource coordination
- Maintain and update project documentation, including presentations, meeting notes, action items, and status reports
- Track project milestones, deliverables, and deadlines to ensure timely completion
- Coordinate ARCH or CBU event logistics, including scheduling, vendor communications, contracts, travel, and venue arrangements
- Manage administrative tasks such as budgets, invoices, records, and preparation of event materials and communications
- Support event execution through setup, on-site coordination, and post-event wrap-up
- Support ARCH food service vendor with coordination of menu, communication and employee feedback
- Support Stratasys company store vendor with store website and apparel selection
- Maintain CBU stock of company items and outfit ARCH mannequin
- Follow all company policies and procedures (safety, compliance etc.)
- Attend all required company training

Must have for this role:
- High School Diploma or equivalent
- 4+ years of administrative or project coordination experience; exposure to project management practices preferred
- Proficiency in Microsoft Office Suite, project management tools (e.g., MS Project, MS Planner, Monday.com), and document control systems
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Excellent written and verbal communication skills

For this position, the typical annual starting base salary is from $47,702 to $63,004, which does not include variable incentive pay. This range represents a good faith estimate for this position. Your individual base pay will depend on your skills, qualifications, geographical location, and/or experiences.
